ClearTask ("ClearTask", "we", "us", or "our") operates the ClearTask task management platform available at app.cleartask.com.au and related websites (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you use the Service.
We are committed to protecting your privacy and handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles ("APPs").
1. Who this policy applies to
This policy applies to:
- individuals who register for or use the Service;
- organisation owners and administrators who create and manage a ClearTask workspace;
- team members invited to an organisation's workspace; and
- visitors to our marketing website at cleartask.com.au.
If you use ClearTask on behalf of a business, your organisation is responsible for ensuring its use of the Service complies with applicable privacy laws and for informing its personnel about how their information is handled.
2. Information we collect
We collect personal information that is reasonably necessary to provide and improve the Service. This may include:
Account and profile information
- name and email address;
- profile photo (if uploaded);
- login credentials (stored in hashed form); and
- organisation role and permissions.
Business and organisation details
- organisation name, industry, and logo;
- business address, phone number, and website (if provided);
- locations, departments, and team structure; and
- invitation and membership records.
Task and operational data
- tasks, assignments, due dates, priorities, and completion records;
- standard operating procedures, templates, attachments, and proof-of-completion uploads;
- announcements, comments, and audit logs relating to workspace activity; and
- notification preferences and in-app notification history.
Usage and technical data
- device type, browser, and operating system;
- IP address, access times, and pages or features used within the Service;
- diagnostic, performance, and error logs; and
- push notification tokens (where you enable notifications).
Communications
- messages you send to us (for example, support requests); and
- transactional emails we send, such as invitations, task reminders, and overdue alerts.
We do not intentionally collect sensitive information (such as health information or government identifiers) unless you choose to include it in task content or uploads. Please avoid uploading sensitive information unless it is necessary for your business purposes and you have a lawful basis to do so.
3. How we collect information
We collect personal information when you:
- register for an account or accept an invitation;
- create, assign, or complete tasks and related content;
- upload files or update organisation settings;
- enable email or push notifications;
- contact us for support; or
- use the Service, including through cookies and similar technologies (see Section 9).
4. How we use your information
We use personal information for the following purposes:
- Providing the Service — creating and managing accounts, workspaces, tasks, and collaboration features;
- Notifications — sending task assignments, reminders, overdue alerts, and other service-related communications by email or push notification;
- Security and integrity — authenticating users, preventing fraud and abuse, and maintaining audit trails;
- Support — responding to enquiries and troubleshooting issues;
- Improvement — analysing aggregated usage patterns to improve reliability, performance, and product features; and
- Legal compliance — meeting our legal obligations and enforcing our Terms of Service.
We will not use your personal information for direct marketing unrelated to the Service without your consent, and you may opt out of non-essential marketing communications at any time.
5. Who we share information with
We do not sell your personal information. We disclose personal information only where reasonably necessary to operate the Service, including to the following categories of recipients:
Service providers
- Railway — cloud hosting and infrastructure. Application data, uploaded files, and database records are stored on servers operated by Railway, which may be located outside Australia (including the United States).
- Resend — transactional email delivery (for example, invitations, task reminders, and overdue notifications). Resend processes recipient email addresses and message content on our behalf.
- Google Firebase — push notification delivery to web and mobile devices. Firebase processes device tokens and notification payloads when you enable push notifications.
These providers are engaged to perform services for us and are required to handle personal information in accordance with applicable privacy laws and our instructions. Where personal information is disclosed to overseas recipients, we take reasonable steps to ensure those recipients comply with the APPs or are subject to a comparable privacy regime, as required by APP 8.
Within your organisation
Information you add to a workspace may be visible to other members of your organisation according to their role and permissions. Organisation owners and administrators control membership and access settings.
Other disclosures
We may also disclose personal information where:
- required or authorised by law, court order, or regulatory authority;
- necessary to protect the rights, safety, or property of ClearTask, our users, or the public; or
- you have given consent, or you would reasonably expect us to disclose the information.
6. Data storage and security
Personal information is stored on secure infrastructure provided by Railway. Uploaded files (such as profile photos, organisation logos, and task attachments) are stored on persistent storage associated with our hosting environment.
We implement reasonable technical and organisational measures to protect personal information, including:
- encryption of data in transit using TLS/HTTPS;
- hashed storage of passwords;
- role-based access controls within the Service;
- audit logging of significant account and workspace actions; and
- restricted access to production systems on a need-to-know basis.
No method of transmission or storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential and notifying us promptly if you suspect unauthorised access to your account.
7. Data retention
We retain personal information for as long as your account or organisation workspace is active and as needed to provide the Service. We may retain certain records for a longer period where required by law, to resolve disputes, enforce our agreements, or maintain security and backup integrity.
When you delete your account or request deletion of personal information, we will take reasonable steps to delete or de-identify the information, except where we are required or permitted to retain it by law.
8. Your rights
Under the Privacy Act 1988 (Cth), you have rights in relation to your personal information, including the right to:
- Access — request access to the personal information we hold about you (APP 12);
- Correction — request correction of personal information that is inaccurate, out of date, incomplete, irrelevant, or misleading (APP 13); and
- Deletion — request deletion of your personal information, subject to legal and operational requirements.
You can update much of your profile information directly within the Service at app.cleartask.com.au. Organisation owners may manage member access and workspace data through organisation settings.
To make a privacy request, contact us using the details in Section 11. We will respond within a reasonable period and in accordance with the Privacy Act. We may need to verify your identity before processing a request.
If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
9. Cookies and similar technologies
We use cookies and similar technologies to operate the Service and improve your experience. A cookie is a small text file stored on your device by your browser.
Types of cookies we use
- Essential cookies — required for authentication, session management, and security. The Service cannot function properly without these cookies.
- Preference cookies — remember settings such as your selected organisation or notification preferences.
- Analytics cookies — help us understand how the Service is used so we can improve performance and features. Where used, analytics data is aggregated where possible.
Our marketing website may use additional cookies for basic functionality. You can control cookies through your browser settings. Disabling essential cookies may prevent you from signing in or using core features of the Service.
We do not use cookies to track you across unrelated third-party websites for advertising purposes.
10. Children
The Service is intended for use by businesses and their personnel. It is not directed at children under 16 years of age. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us and we will take steps to delete it.

12. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. We will publish the updated policy on this page and update the "Last updated" date. Where changes are material, we will provide notice through the Service or by email where appropriate.
Your continued use of the Service after an update constitutes acceptance of the revised policy.
